You will assume overall responsibility for the smooth running of the calendar of activities; including staff management, ensuring student well-being and communication and being the point of contact for all vendors. You will live on site at Drew University in Madison, NJ for the duration of the program. Room & board is provided.
Tasks will include, but not be limited to:
• Ensure that all calendars are created and all activities and daily events are planned and carried out accordingly (Morning, day and evening)
• Plan, manage, and supervise the organization of the Global Village Lounge and Club.
• Responsible for all EF branding on site (setup and breakdown daily if needed)
• Plan and execute welcome/arrival party and farewell party to provide “wow” moments.
• Work with Site Director to prepare student orientation and graduation.
• Looking to implement more engaging evening activities for the students, and looking at ways to improve the students’ satisfaction with regards to activities
• Plan and execute EF discos (weekly and themed)
• Ensure that all students and staff are aware of the optional activities schedule.
• Work closely with the transportation suppliers to ensure the smooth running of excursions and activities.
• Ensure the smooth running of the program by working as a team with the Center Manager and Course Director
• Receive direction, resources and support from the Center Manager and Operations Manager, and work closely with Boston supporting staff.
• Planning and managing arrivals and departures.
• Liaising closely with catering and residence suppliers.
• Allocating accommodation to students and EF staff and keeping accurate records of rooming allocations.
• Ensuring accommodation meets high standards of quality, cleanliness and comfort.
• Calculating daily catering requirements and ensuring a consistently high quality of meals.
• Coordinating damage checks and collecting room deposits.
• Creating staff rotas for meal and night duties.
• Welfare and discipline.
• Dealing with problems and emergency situations should they arise.
Key responsibilities will include, but not be limited to:
• Responsible for the management of all Activity leaders.
• Preform daily meeting with Activity leaders to ensure a seamless experience.
• Coordinate daily meeting with Course Leaders to ensure their support and understanding for the daily calendar.
• Execute orientation for all Activity leaders
• Execute orientation for all Course Leaders within 24 hours of arrival.
• Observe Activity Leaders during first week of program and supply feedback.
• Responsible for weekly rotational work calendar for all Activity Leaders.
• Nightly “check-in” with Activity Leaders and Course Leaders.
• On call 24 hours

Requirements:
• Must live on campus throughout the duration of the program
• Must be computer and AV savvy; comfortable with excel, outlook, setting up projectors
• Must have experience with staff management
• Academic/camp background and experience working with teenage students a plus
• Event planning experience a plus
• Must attend training weekend in Boston, MA on May 18th-19th (all expenses covered) and lead training for Activity Leaders in Madison, NJ on one day in June (tbd)
