Job Description Job Description Founded in 1961, Sandy Spring Friends School is a progressive, coed, academically-rigorous day school serving students from age three through 12th grade. Summary: The Middle School seeks an Administrative Assistant responsible for the administrative functions of the Middle School buildings in support of the Head of Middle School, faculty & staff, afterschool programs, and students and their families. The ideal candidate will have excellent writing, organizational, communication and problem-solving skills while using discretion with sensitive information. Completing long-term projects while also multi-tasking daily duties are all essential. Flexibility with hours is important as helping with some occasional weekend and evening events will be necessary. Responsibilities: Communicates professionally with all constituencies via telephone, email, mail, notes, or in-person; assists with inquiries about Middle School procedures, and other general receptionist duties. Maintains inventory and upkeep of office and classroom supplies, kitchen supplies, and office machines; generates building maintenance requests. Collaborates with the Head of Middle School focusing on the calendar and other events including composing the newsletter and messages as well as helping to coordinate and produce the weekly newsletter. Provides first aid care as required for sick and injured students; communicates with the parents and health center questions or concerns regarding the wellbeing of students; administers medications to students as needed; documents administered medications in school database; ensure accident report forms are completed as necessary. Assists with planning events and trips. Assists with Admissions Open House, Admissions testing and tours, and prospective student shadow visits. Responsible for student scheduling of classes and sports and electives in collaboration with members of the Administrative Team. Maintains Veracross database for the Middle School; records daily attendance; prepares required forms and student placement mailings; ensures all student forms are on file; communicates household changes with other divisions; responds to transcript requests, and coordinates electronic mailings in collaboration with MarCom. Serves as the point of contact for substitutes as they are onboarded, contracted, and working at the School. Records faculty attendance and assists with obtaining substitute teachers in acute situations. Qualifications: High School Diploma or equivalent, Bachelor’s degree desirable. 1-2 years of office experience is required and school specific experience is favorable. Proficient in Microsoft Office, and Google products. Experience with Veracross is highly desirable. Physical Requirements: The ability to navigate stairs as part of daily routines; mobility around a large campus with uneven pavement; bending and squatting as required to participate in activities; sitting and standing for long periods of time during the school day; lifting/carrying boxes up to 25 pounds; and the ability to maneuver as necessary within a regular classroom and office setting.
